What is the DataGrout Microsoft Outlook MCP Server?

The DataGrout Microsoft Outlook MCP Server is a native Model Context Protocol server that exposes Outlook email as callable tools for AI agents. Agents can browse messages and mail folders, create drafts and send them, forward messages with a comment, move and copy mail between folders, attach files including large ones through upload sessions, and run mailbox changes as a single Microsoft Graph JSON batch, all through one governed endpoint that enforces side-effect policy and runs Warden preflight on every call.

156 tools across messages, drafts, folders and attachments

Works for the signed-in user or for a specified user

Read and write allowed, scoped by your policy

156 Microsoft Outlook tools, grouped by the work they do

Mail is a queue with a memory: what arrived, what is drafted, what was sent and what was filed. The groups below follow that shape; the full inventory is in your signed-in workspace.

Messages and mail folders

Keep mail where it belongs, without moving it one message at a time.

  • Move a message from a folder into a destination folder
  • Copy a message and leave the original in place
  • Create a child mail folder under an existing folder
  • Read a folderโ€™s display name, parent, child count, total and unread item counts

Drafts and sending

Compose with real fields, then send the draft that was reviewed.

  • Create a draft with subject, body, recipients, importance and categories
  • Create a draft directly inside a chosen mail folder
  • Create drafts in a specified userโ€™s mailbox
  • Send an existing draft by message ID, which delivers it and moves it to Sent Items

Forwarding

Pass a message on with the context the next reader needs.

  • Forward a message by ID, with an optional comment
  • Forward a message from a specific mail folder
  • Forward from a specified userโ€™s mailbox
  • Address recipients and return the resulting message details

Attachments and large files

Attach documents of any size, including files too large for one request.

  • Add a file attachment with name, content type and base64 content
  • Attach to a message in a chosen or nested mail folder
  • Create an upload session for a large attachment, with an upload URL and expiry
  • Attach on behalf of a specified user

Batch mailbox operations

One Microsoft Graph JSON batch instead of a loop of single calls.

  • Move several messages in one batch request
  • Update read status, categories, importance or flag across a list of messages
  • Per-message responses with correlation ID and HTTP status code
  • Returned message details for each change in the batch

Mailbox addressing

The same operations, aimed at the right mailbox and folder.

  • Operate in the signed-in userโ€™s mailbox
  • Address a specified user by ID or user principal name
  • Work against a mail folder or a nested child folder
  • Return the identifiers an agent needs for the next call

Connect Microsoft Outlook in four steps

Everything happens in the DataGrout Hub โ€” no code, no per-agent configuration.

  1. 1

    Open your Hub Server

In DataGrout, open the Hub Server that will carry your integrations and click Add Integration.

  2. 2

    Find Microsoft Outlook

Search for Microsoft Outlook, then select the native MCP Server integration for email.

  3. 3

    Fill credentials and sandbox

The integration has Credentials and Sandbox sections. Connect the Microsoft account whose mailbox the agents may reach.

  4. 4

    Select tools and set policy

Expose the message, folder and draft tools the agent needs, then set side-effect and Warden policy.

Authentication

  • OAuth2

Connect the Microsoft account in the Credentials section, then choose which mailbox and folders the agents may work with. The accountโ€™s own mail permissions still apply.

  • Sandbox

A Sandbox section sits beside Credentials in the integration, so the connection can be prepared before the Hubโ€™s agents work against a live mailbox.

What agents get back

Mail responses carry the identifiers an agent needs to chain the next call, plus the message fields that explain what it is looking at.

  • Message, conversation and parent folder identifiers
  • Subject, sender, recipients, importance, categories and read status
  • Attachment details, including size, content type and inline status
  • Receipt and execution summary per call

Governance on every Microsoft Outlook call

The server ships with the same layered policy engine as every DataGrout integration. Security teams set the posture once; every agent inherits it.

Side-effect controls

Read and write are available. Side effects are governed by your policy, set per integration and inherited from the Hub Server above it.

Policy and interaction controls

Policy Controls carry a mode dropdown and a minimum verdict dropdown. The integration also has its own Interaction section, and overriding the parent policy or parent interaction settings is disabled by default.

Warden preflight

Email arrives written by strangers. Warden screens every call in Off, Log only, Advisory or Enforce mode before it executes.

Policy inheritance

Integration policy inherits from the Hub Server and can only get stricter, Warden posture included. A child integration never weakens its parent.

Observability built in

Every execution can return a receipt, a pre-run credit estimate, a Cognitive Trust Certificate and a full execution summary โ€” so an agent's work on your Microsoft Outlook data is always explainable.

What teams run on it

Four patterns that show up again and again once a Microsoft Outlook connection is in place.

Reply preparation

An agent reads an inbound message, files it in the right folder and prepares a draft with the subject, recipients and body ready for a person to send.

Inbox triage

Sort messages into child folders and apply categories or flags across a list of messages in a single batch instead of one call per email.

Document handoff

Attach a generated report to a message, using an upload session when the file is too large for a single request.

Mailbox audits

Walk folder counts and message metadata to report what is unread, unfiled or waiting on someone, without changing a single message.

Microsoft Outlook MCP Server FAQ

Through Microsoft OAuth2. The Credentials section connects the Microsoft account, the Sandbox section sits beside it, and every agent on that Hub inherits the connection.

Connect Microsoft Outlook to your agents

Add the Microsoft Outlook MCP Server to your DataGrout Hub and let agents draft, file and forward mail, with governance on every change.
